The following guide covers how to configure Safeguarding Roles and configuration around alerts and access. Note: These are only recommendations and you do not have to configure your estate exactly this way.

 

Email Alerts:


Currently email alerts are sent out for any “urgent” or “critical” alert. At this stage, these alerts can only be configured per site and cannot be customized. If you are looking to split access to “Students” and “Teachers”, you will need to configure your sites in a certain way:

 

 

Having a site for “Teachers” and a site for “Students” allows us to enable a filter on the email alerts regarding staff or student. You can configure the email alerts within the “Manage User” options under each user:

 

 

 

In this example, the user will receive email alerts for Staff violations only and not for Students, if we enabled the students then the user would receive both staff and student violations. Access must also be configured for the user to view the violation within the portal, which is covered in the next step.

 

Setting up a Safe Guard role:

 

The access is managed 2 ways, firstly we will configure a role to set the level of access required. Second, we will then enable which data the user should be able to view.

 

You should only require 1 role to be configured, in this example we will call it “SafeGuarding”, Within the admin portal, navigate to “Console Users” then “Manage Roles” , select create new:



Please ensure this configured to “user assigned site” as this will then take the site access from the user and removes the requirement for a role per site. Within Permissions please set:

 

 

These basic permissions allow the user to view any violation data and logs their username is configured to have access to. Apply the role to any user requiring Violation \ Logs access. Once the “Site Assignment” is set for the user, they will be able to access the relevant data for that site only:

 

 

In this example, my user is only configured to access the violation data for Staff users within the Telford School.
